Do I need a weighbridge to use this?
No. There are four ways to get a load into WasteBolt — Log New Transfer (manual entry), Bolt Upload (AI extraction from photos or PDFs), CSV Import (weighbridge exports), and WasteBolt Gatehouse (fully automatic). Small sites with no weighbridge can use manual logging or Bolt Upload just as effectively as large sites.
What is Bolt Upload and how does it work?
Bolt Upload lets you photograph or upload a PDF of a paper or emailed WTN. WasteBolt's AI reads the document and extracts key details — producer name, carrier, EWC code, waste description, weights, vehicle registration — and pre-fills a staging record. You review, adjust if needed, and approve.
What is WasteBolt Gatehouse and do I need it?
WasteBolt Gatehouse is a free Windows desktop app (.exe) that watches a folder on your PC for new CSV exports. When your weighbridge drops a file, Gatehouse uploads it to WasteBolt automatically — no manual upload needed. It's optional but eliminates the upload step entirely for weighbridge sites.
What are Import Templates and how do I set them up?
Import Templates are matching rules that link incoming records — from any input method — to a predefined set of producer, carrier, waste, and consignee details. You define the rule, for example "company_name contains Smith Recycling", and whenever a matching record arrives in staging, the template fills in all the associated details automatically. Most sites need 5–20 templates to cover their regular producers.
Is this part of my existing WasteBolt subscription?
Yes — Log New Transfer, Bolt Upload, CSV Import, and WasteBolt Gatehouse are all part of the standard WasteBolt platform at no extra charge. They're available to all admin accounts on any paid plan.
How does duplicate prevention work?
WasteBolt Gatehouse checks new records against previously uploaded ones before sending them. You can choose from three methods: Ticket/Docket ID (recommended), Date + Company + Vehicle (composite key for systems without ticket numbers), or Exact Date/Time. Each uploaded file is also moved to a Processed or Failed folder automatically.
Can I use this for hazardous waste?
Fully. Import Templates support HP codes, hazardous waste determination, special handling requirements, and POPs component data — across all four intake methods. You can create both standard Waste Transfer Notes and Consignment Notes for hazardous loads through the same staging workflow.
Does this feed into Digital Waste Tracking (DWT)?
Yes. Records created through any intake method feed directly into your DWT submissions queue. If you have a Defra API key set up, you can submit manually from the submissions page, or enable Auto-Submit to send ready records automatically on a daily schedule.
What happens to records after I import them?
They arrive in staging with status "Staged". You review them in the Import Review page — edit any fields inline, approve or reject individual rows, then click Import to convert them to WTNs or Dockets. From there, they appear in your normal WTN hub and can be submitted to DWT like any other record.
