Your Customer pick list stores every producer, carrier, receiver and broker you deal with regularly — set each one up once, and every Waste Transfer Note fills in a single click instead of typing the same names, addresses and permit numbers over and over.
What Is the Customers Hub?
WasteBolt used to store producers, carriers and receivers as three separate lists. They’re now unified into a single Customers Hub — one record per business, tagged with the role (or roles) it plays. A business can hold more than one role at once (for example, a site that’s both a carrier and a receiver), and it only appears in the pick lists that match its roles when you’re building a WTN.
Tip: Getting roles right matters more than anything else on this form — it’s what controls which pick list a customer shows up in. A carrier tagged only as “Waste Receiver” won’t appear when you’re picking a carrier on a WTN.
How to Add a Customer
- Open Settings → My Site → Customers — From the app, go to Settings in the top nav, then My Site, then Records → Customers.
- Click “Add Customer” on the Customers Hub page.
- Select the customer’s role(s) — Waste Producer, Waste Carrier, Waste Receiver, and/or Broker. Select every role that applies; a customer with no matching role won’t show up in any pick list.
- Enter business details — Business name (the only required field), address and postcode. You can pin the exact location on a map or use “Find on map” to search.
- Add licences & codes — Licence number, SIC code, and Carrier Registration Number as applicable. There’s a direct link to verify a carrier or permit registration on Validate (the Environment Agency’s public register) without leaving the form.
- Save.
Collection Sites
If a customer’s waste is actually collected from somewhere other than their registered office — a common case for producers with multiple sites — add each collection site under Collection Sites on the customer form. The registered office address is no longer auto-filled onto WTNs once sites are added; instead, whoever creates the WTN picks the actual collection address from the list, so drivers are sent to the right place.
Contact & Email Workflow
- Default Email Recipient — the address used when you send an e-signature request for a WTN, or email a copy to this customer.
- CC Email Address (optional) — copied in alongside the default recipient.
- Include in Email Workflow — an off-by-default toggle. Turn it on and this customer can be automatically emailed a signature request or a copy of a WTN by Email Workflow whenever they’re matched as the producer, broker, carrier or consignee on a note. Nothing is sent unless this is on and a Default Email Recipient is set.
Additional Contacts
Beyond the main email recipient, you can add a phone-book of contacts for a customer — Main Site Contact, Foreman, Driver, Reception, Accounts, or any role you name. Each contact stores a phone number and email, separate from the WTN-sending email above.
Each contact has a “Show to drivers” toggle. Turn it on for contacts drivers might genuinely need on-site (a site foreman, a gate contact) and leave it off for anything office-only (accounts, admin) — see Driver-Facing View below for what that actually controls.
Notes
Two separate note fields, with different visibility:

Driver-Facing View
When a driver opens a customer’s card, they see a deliberately limited, forward-facing view — site address, driver-visible contacts, and driver notes. Account-level detail (licence numbers, admin notes, email workflow settings) stays admin-only and is never shown on the driver view. Where a site has an address, drivers can open directions to it directly in Google Maps from the customer card.
Bulk Import via JSON
Adding customers one at a time is fine for a handful, but if you’re migrating an existing customer list, use Import from JSON on the Customers Hub instead of typing them all in by hand.
There’s no CSV column-mapping step — instead, paste your existing customer list (a spreadsheet, a PDF, whatever you have) into an AI chatbot (ChatGPT, Claude, Gemini or similar) along with the JSON shape shown on the import page, ask it to reformat your data to match, then paste the result into WasteBolt.
Tip: For a long list, ask your chatbot for around 50–100 customers at a time and import in a few batches rather than one huge response — very long AI responses can get cut off partway through before the JSON is complete.
Only business_name is required; everything else (roles, address, licence numbers, contacts, notes, email workflow) is optional and matches the same fields as the manual form above.
Frequently Asked Questions
Can a customer hold more than one role?
Yes. A site that’s both a carrier and a receiver, for example, should have both roles selected — it’ll then appear correctly in both pick lists when building a WTN.
Do Customer records sync across the whole account?
Yes. Customers are shared across your entire WasteBolt account — when one team member adds a customer, it’s immediately available to everyone else, including on the driver-facing view where relevant.
What happens to old Pick List data?
The Customers Hub uses the same underlying data as the previous Pick Lists → Customers, so nothing is lost — it’s the same records, presented and managed differently.
Can I edit a customer’s details later?
Yes — open the customer from the Customers Hub and edit any field, including roles, contacts and notes. Changes apply to future WTNs; documents already created aren’t affected.
