What is WasteBolt Linked?
WasteBolt Linked is a peer-to-peer document sharing network built into WasteBolt. It lets you connect with other WasteBolt businesses and pass waste transfer notes (WTNs) and dockets directly into their account — and receive documents from them in return.
There is no email, no PDF, and no manual re-entry involved. A document you send lands directly in the recipient’s WasteBolt inbox, ready for them to review and accept into their own records.
Step 1 — Access WasteBolt Linked
Go to My Site in the main navigation, then select WasteBolt Linked.
This is your Linked hub. From here you can:
- Make your business discoverable to other WasteBolt users
- Send and manage connection requests
- View your active connections
Step 2 — Connect With Another Business
Making yourself discoverable
Toggle Discoverable on if you want other WasteBolt businesses to be able to find and request a connection with you. You can turn this off at any time.
Sending a connection request
- Use the search bar to find the business by company name or waste carrier licence number.
- Select them from the results and send a connection request.
- They will receive a notification and can accept or decline.
Accepting an incoming request
Incoming connection requests appear in the Pending Requests section. Review the requesting business and tap Accept to connect, or Decline to reject the request.
Once accepted, the connection is live and either side can start passing documents.
Step 3 — Pass a Waste Transfer Note
- Go to Waste Transfer Notes and open the WTN you want to send.
- Open the action menu (three dots) and select Pass to Connection.
- Choose the connection you want to send to from the list. Connections that appear as a party on the WTN are highlighted with a Party match badge.
- Optionally add a short message for the recipient.
- Tap Send.
Party mismatch warning: If the selected connection does not appear as a producer, carrier, or consignee on the WTN, WasteBolt will warn you before sending. You can still proceed — just confirm you are sending to the right business.
Step 4 — Pass a Docket
The process is the same as for WTNs.
- Go to Dockets and open the docket’s action menu.
- Select Pass to Connection.
- Choose a connection, add an optional note, and tap Send.
All docket data travels with the transfer — including any attached photos and GPS coordinates. The recipient receives a complete copy.
Note: Dockets linked to a season ticket cannot be passed. Season ticket loads are read-only within WasteBolt Linked to protect the integrity of the seasonal agreement.
Step 5 — Accepting an Incoming Transfer
When another business passes a document to you, it appears in your Inbox on the Linked Transfers page.
Each transfer card shows:
- The document type (WTN or Docket) and reference number
- The sender’s business name
- Any message they attached
- The date it was sent
Tap Accept to copy the document into your own WasteBolt account. Once accepted, it is a full record you can view, sign, and submit to DWT.
Tap Decline if you do not want to accept it. The sender will see the rejection in their sent history.
Managing Your Sent Transfers
The Sent tab on the Linked Transfers page shows all documents you have passed, with a status for each:
- Pending — the recipient has not yet accepted or declined
- Accepted — the recipient has accepted the document into their account
- Declined — the recipient declined the transfer
- Recalled — you recalled the transfer before it was accepted
Recalling a transfer
If you sent a document in error, you can recall it while the status is still Pending. Tap the recall icon on the transfer card. The document is removed from the recipient’s inbox and the transfer is marked as recalled.
Dismissing old transfers
Declined and recalled transfers can be dismissed from your sent list once you have noted them. Tap the ✕ icon on the card to remove it from view.
Signature Sync
When a WTN has been passed to a connected business and that business signs it, the signature is automatically synced back to your original record.
You do not need to request the signature or ask them to reconnect. Your WTN simply updates to reflect their signature as soon as it is added on their side.
Dashboard Indicator
If you have incoming transfers waiting in your inbox, a count badge appears on your WasteBolt dashboard under WTNs to Accept. Tapping it takes you directly to the Linked Transfers inbox.
Seat Users
If you use seat users (additional team members under your account), they can pass documents using the connections belonging to your admin account. Connections are owned at the admin level and are accessible to all seat users within that account.
Frequently Asked Questions
Does the recipient need a WasteBolt account? Yes. Both businesses must have an active WasteBolt account to connect and pass documents.
Can I pass a document to more than one connection? Yes. You can pass the same WTN or docket to multiple connections separately — for example if both the carrier and the receiving site need a copy.
What happens to the original document when I pass it? Nothing changes on your end. Passing a document sends a copy to the recipient. Your original record is unaffected.
Can the recipient edit the document they receive? Yes — once accepted, the document is their own record and they can edit, sign, and work with it independently.
What if I make a mistake and send to the wrong connection? If the transfer is still pending, you can recall it immediately from the Sent tab. If it has already been accepted, contact the recipient directly to disregard it.
