Your Vehicles pick list links each vehicle to the carrier, producer and receiver it usually runs between — set it up once, and selecting a vehicle on a WTN, gate log or DWT submission can pre-fill the rest of the form.

What Is the Vehicles Hub?

The Vehicles Hub stores vehicles linked to their usual carrier, producer and consignee. It replaces the old “Vehicles” tab on Pick Lists — same underlying data, reorganised into its own hub with search, card view, and table view.

Tip: You don’t have to fill in every field to save a vehicle — a bare registration is enough to get it into your pick list. The “Usual Parties” and “Defaults” sections are there to save time on routes you run repeatedly, so it’s worth completing them for your regular vehicles even if you skip them for occasional ones.

How to Add a Vehicle

  1. Open Settings → Vehicles Hub — from the app, go to Settings, then Vehicles Hub.
  2. Click “Add Vehicle.”
  3. Enter Vehicle Registration and Tare Weight — registration defaults to “No Reg” if left empty; tare weight is optional but unlocks automatic net weight (see below).
  4. Set Usual Parties — Assigned Haulier, Assigned Customer, Assigned Receiver (all optional — see Usual Parties below).
  5. Set Defaults — a Default Waste Type and/or a driver to assign the vehicle to.
  6. Save.

Tare Weight and Automatic Net Weight

Enter a vehicle’s Tare Weight (its empty weight in kg) and WasteBolt uses it automatically: whenever this vehicle is selected on a WTN, the Tare Weight field pre-fills, and Net Weight (Gross − Tare) calculates on its own once a gross weight is entered. Worth setting up for any vehicle that’s weighed regularly — it removes a manual calculation from every load.

Usual Parties

Three optional fields link a vehicle to the businesses it usually deals with:

  • Assigned Haulier (Vehicle Owner) — the transport company that owns or operates this vehicle.
  • Assigned Customer (Site/Producer) — the site where this vehicle usually collects waste.
  • Assigned Receiver (Destination) — the destination site where this vehicle usually delivers.

These come from your Customer pick list, so set those up first if you haven’t already. If a vehicle runs the same route every time — same collection site, same destination — filling these in means picking the vehicle on a WTN can pre-fill all three parties in one go.

Defaults

  • Default Waste Type — when this vehicle is selected on a load, gate log, or DWT submission, the waste fields pre-fill automatically. Pulled from your Waste Types pick list; leave it as “None — pick on each load” for vehicles that carry different waste types on different jobs.
  • Assign to Driver — optional. Link the vehicle to a driver on your team so it’s easy to identify who usually drives it. Doesn’t restrict who can use the vehicle, it’s for reference only.

Viewing and Managing Vehicles

  • Search — use the search bar on the Vehicles Hub to find a vehicle by registration.
  • Cards or Table view — switch between a card layout and a compact table using the toggle in the top right.
  • Partial records are fine — a vehicle card only shows the fields you’ve filled in, so it’s normal to have some vehicles with just a registration and others with the full set of parties and defaults.
  • Edit or delete — open a vehicle and update or remove it. Changes apply to future WTNs; documents already created aren’t affected.

Frequently Asked Questions

Do I need to set a tare weight for every vehicle?

No — it’s entirely optional. Set it for vehicles that are weighed regularly and you’ll get automatic net weight calculation; skip it for vehicles where that doesn’t apply.

What if a vehicle doesn’t have a registration yet?

Leave the Vehicle Registration field empty and it defaults to “No Reg” — useful for trailers or plant that don’t carry a normal registration but still need tracking as a vehicle record.

Can one vehicle have different usual parties for different jobs?

The Usual Parties fields store one haulier, one customer, and one receiver per vehicle — for a vehicle that regularly runs different routes, it’s often simplest to leave these blank and just fill in the actual parties on each WTN instead.

Do Vehicle records sync across the whole account?

Yes. Vehicles are shared across your entire WasteBolt account — when one team member adds a vehicle, it’s immediately available to everyone else building a WTN, logging a gate load, or submitting to DWT.
