DWT Auto Submit takes the chore out of Digital Waste Tracking. Once a day, at a time you choose, it sends every WTN that’s fully ready to Defra — and leaves anything that needs attention for you to fix, with the reason why.
It only sends WTNs. It doesn’t create them — see Is Your Gate Workflow Set Up Right? for how loads become WTNs in the first place.
Before you start: your account needs to be connected to Defra with your site’s API code. If you haven’t done that yet, follow the DWT setup guide first.
What Gets Sent — and What Doesn’t
Each run looks at WTNs on your Digital Waste Tracking page that are waiting to be submitted (DWT status Pending or Pending resubmission), from the last 12 months. Each one has to pass two checks:
- It must be fully ready. That means a green Ready in the DWT Ready column, with no errors and no warnings — for example a missing carrier registration, recovery code, or hazardous consignment code. Anything less is left for you to check; DWT Auto Submit never fills in or guesses missing details.
- It must be your site’s receipt. Only the site that receives the waste reports it to Defra. If the receiver’s licence number on the WTN doesn’t match your site, it’s skipped.
WTNs that pass both are sent to Defra with a short pause between each, using your own site’s API code — on multi-site accounts, the site is matched from the receiver’s postcode.
What happens after sending
- Accepted — the WTN is marked Submitted and shows its Defra waste tracking ID.
- Rejected by Defra — the WTN is marked Error with Defra’s reason. It isn’t retried automatically: fix the problem and submit it again from the DWT page. See common rejection fixes.
What’s never sent
- WTNs where you aren’t the receiver — WasteBolt marks these DWT not required when they’re created.
- Season tickets.
- Anything with an error or a warning.
Setting It Up
Open Work Flows → DWT Auto Submit.
- Switch on Enable daily auto-submit.
- Choose a Run time (UTC). If you use Gate Auto Processing, pick a time after its run so the day’s WTNs are included.
- Optionally turn on the Submission Report Email and add the addresses it should go to (see below).
- Press Save Settings.
Like the other Work Flows settings, this is one setting for the whole company — any admin, including secondary admins, can change it, and the change applies to everyone. Drivers can’t change it.
Remember: times are in UTC. In summer (BST), 22:00 UTC is 23:00 UK time.
Run Now
Press Run Now to submit straight away instead of waiting for the daily run. Each run sends up to 50 WTNs; for bigger batches the page keeps going automatically and shows its progress — keep the page open until you see “Done”. If you still have more than 50 waiting afterwards, press Run Now again.
It’s safe to press Run Now while the daily run is going (or twice by accident): each WTN is locked while it’s being sent, so it can never be submitted to Defra twice.
The Submission Report Email
Turn on Send report after each run and add the email addresses to receive it — these don’t need to be WasteBolt users, so a director or compliance lead can get the report without a login. A report is sent after each run and shows:
- Submitted — WTN number, producer and Defra ID.
- Failed — WTNs Defra rejected, with Defra’s reason.
- Skipped — WTNs that weren’t sent, and why, such as “not DWT ready — Carrier reg missing” or “receiver licence does not match your site”.
If a Daily Run Is Missed
If something stops your daily run happening — for example Defra’s service is down at your chosen time — WasteBolt notices within the hour once a full day has passed without a run, and catches up automatically. A healthy account is never submitted more than once a day by the schedule.
Frequently Asked Questions
Why wasn’t my WTN submitted?
Open the Recent runs list on the DWT Auto Submit page, or check the report email — every skipped WTN has a reason. Most often it’s a warning on the DWT page (fix it and it’ll go on the next run), or the load was received by another site.
Can I still submit WTNs by hand?
Yes. DWT Auto Submit doesn’t stop you pressing Submit on the Digital Waste Tracking page for any WTN at any time.
Does it check the details are correct?
It checks they’re complete and in a format Defra accepts — not that they’re right. If a load was logged against the wrong customer, it’ll be submitted as logged. If you want a person to confirm every load before it reaches Defra, keep Auto-Create WTNs and Auto Processing off — see Is Your Gate Workflow Set Up Right?.
Which API code is used?
Always your own site’s — the API code registered against the receiving site in your WasteBolt settings. WasteBolt never submits your receipts under anyone else’s code.
