DWT Quick Submit is the fastest way to report a single incoming load to Defra. You fill in one guided form, press Submit to Defra, and WasteBolt sends the receipt to the Digital Waste Tracking service — then creates the Waste Transfer Note for you, already marked as submitted.

It’s built for one-off loads and quick catch-ups. For loads coming through your gatehouse every day, Gate and DWT Auto Submit are usually a better fit.

Before You Start

  • You need to be an admin. Quick Submit isn’t available to driver accounts.
  • Your site’s DEFRA API Code must be saved in Business Settings. Without it, Quick Submit shows “DEFRA API code required” with a button to take you there. See the DWT setup guide.

Where to Find It

  • Dashboard → Quick Actions → DWT Quick Submit
  • Add → Add a Waste Movement → DWT Quick Submit (under Recommended — fastest for single-waste loads)

The Six Steps

The six steps of DWT Quick Submit Movement, Producer, Carrier, Receiver, Waste and weight, then Review and Submit to Defra. 1 Movement 2 Producer optional 3 Carrier 4 Receiver your site 5 Waste & Weight 6 Review & Submit

Next stays greyed out until the step has everything Defra needs — an amber “Required: …” note tells you what’s missing.

1. Movement Details

  • Date & Time Received — defaults to now.
  • WTN Reference — generated for you; edit it if you use your own references.
  • Means of Transport — Road, Rail, Sea, Air or Inland Waterway.
  • Vehicle Registration — required for Road. Pick a saved vehicle to fill in the producer, carrier, receiver and usual waste in one go.
  • Repeat last load — if that vehicle has delivered before, you’ll be offered “Repeat last load on {reg}?”. Tap Repeat this load to copy the producer, carrier, receiver and waste from its last visit. The date, reference and weight are never copied — always check them.

2. Producer (optional)

Who produced the waste — choose Producer or Broker / Dealer, then pick from your customers (or Own Site) or type freely. Defra doesn’t require producer details on a receipt, so you can skip this step, but anything you enter is saved on the WTN. For a broker or dealer, add their registration number and, optionally, the original producer.

3. Carrier (Haulier)

  • Carrier Name — pick from customers saved as a Waste Carrier, Own Site, or type.
  • Waste Carrier Reg No (e.g. CBDU123456) — or, if there isn’t one, choose a Reason (no carrier reg): movement within the same premises, a householder moving their own waste, a one-off or infrequent transport, or marine transport.
  • Postcode is required.

4. Receiver / Consignee

Filled in with your own site — name, address, postcode and permit/licence number. Check the Authorisation Number is right; Defra requires it.

5. Waste and Weight

  • Waste Name — pick from your Waste Types pick list to fill in the EWC code, description, physical form, container and recovery code, or type them in. The EWC code is checked against Defra’s list as you type.
  • Physical Form, Container Type, No. of Containers and a Disposal / Recovery Code are all required.
  • Tick Is Hazardous to add HP codes and the hazardous waste consignment code — in England and Wales that’s six letters or numbers, a slash, then five (for example CJ32LE/A0001). If there’s no consignment note, choose the reason instead. Tick Contains POPs for persistent organic pollutants.
  • Weight — enter gross and tare for the net weight to calculate, or type the net weight. You can also enter Litres or Gallons, which are converted to kilograms and marked as an estimate. Tick Weight is an estimate if it isn’t a weighbridge reading.

Quick Submit covers one waste type per load. If a load has more than one EWC code, use the full Waste Transfer Note or Consignment Note form instead.

6. Review & Submit

Check the summary, go Back to change anything, then press Submit to Defra.

What Happens When You Submit

  • Accepted — you’ll see “Submitted to Defra”. WasteBolt creates the Waste Transfer Note at the same time, already marked Submitted, with Defra’s tracking ID saved on it. Press View DWT Records to find it (turn on Show submitted), or Submit Another for the next load.
  • Rejected — you’ll see Defra’s reason, and nothing is saved — no WTN is created. Your answers stay on the form, so go Back, correct the field Defra flagged, and submit again. See common rejection fixes.

Tip: Quick Submit doesn’t save drafts. If you leave the page before submitting, what you’ve entered is lost.

Frequently Asked Questions

Does Quick Submit create a Waste Transfer Note?

Yes — but only once Defra has accepted the receipt. If Defra rejects it, nothing is created, so you never end up with a half-finished record.

Can I use it for waste I’m sending out, not receiving?

No. Digital Waste Tracking is reported by the site that receives the waste, and Quick Submit always reports a receipt at your site.

Can drivers use it?

No — it’s for admins. Drivers log loads through Gate, and an admin (or DWT Auto Submit) sends them to Defra.

What if I submit the same load twice?

Defra will record it twice. Quick Submit gives each load a new reference, so it can’t spot a repeat — check the DWT page first if you’re not sure whether a load has already gone.
