Nothing gets silently rejected — the Digital Waste Tracking page tells you exactly what’s missing before you ever try to submit, and blocks only the records that genuinely can’t go through yet. Here’s how to read the readiness badges and fix the most common issues.

How Readiness Is Checked

Every WTN and docket on the Digital Waste Tracking page is validated automatically and given a badge. Clicking a Warnings or Errors badge expands the specific issues inline, right on that row — no digging through settings to work out what’s wrong.

The readiness flow works like this:

  1. Record loaded — a WTN or docket appears on the DWT page.
  2. Ready — all required fields are present, submit immediately.
  3. Warnings — submittable, but something is worth double-checking first.
  4. Errors — blocked, a required field is missing and must be fixed.

The Most Common Blocking Errors

Almost every Error comes down to one of these six things. Fix the field, re-save the record, and it moves back to Ready.

Missing vehicle registration Add the vehicle reg in WTN Part B (Transfer Details), then re-save the note.
Missing carrier registration/licence number Add the carrier’s EA licence number to their entry in your Customer pick list, then re-save the WTN.
Missing receiver permit/authorisation number Add the consignee’s permit or exemption number to their entry in your Customer pick list.
Missing receiver email or address/postcode Complete the consignee’s contact details in your Customer pick list, then re-save the WTN.
Missing EWC code Add the EWC code to the WTN directly, or set it up once on your Waste Types pick list so it fills in automatically for that waste type.
Missing or zero weight Check the net weight field on the WTN or docket — a zero or blank weight blocks submission.

Warnings You Might See During Submit

Hazardous waste with no consignment code. You’ll be prompted to pick a reason — usually “No document travelling with the waste” if the paperwork itself doesn’t carry one.

Missing carrier registration number. Pick the closest reason (On-Site, Household, One-Off, Marine) — WasteBolt defaults to One-Off if you skip it.

Avoiding Rejections in the First Place

A quick one-time setup checklist gets almost every future record to Ready on the first try:

  • Set your Legislative Country in Profile Settings — it determines whether you submit to the EA, SEPA, NRW or NIEA.
  • Add your Waste Carrier Licence Number and Environmental Permit/Exemption Number in Profile Settings → Compliance Details.
  • Add consignee permit numbers, emails and addresses, and carrier licence numbers to your Customer pick list.
  • Make sure every WTN has an EWC code — set it up once on your Waste Types pick list so it fills in automatically.

Frequently Asked Questions

What’s the difference between a Warning and an Error on the DWT page?

Errors block submission entirely — a required field is missing. Warnings let you submit anyway, but flag something worth checking, like an unusual reason code choice.

I fixed the WTN — why does it still show as an error?

Re-save the WTN after making the fix, and refresh the DWT page. Readiness badges are calculated from the current saved state of the record.

Can I resubmit a record after editing it post-submission?

Yes. Editing a submitted record shows an “Edited — Resubmit” flag; resubmitting sends the corrected data along with the original DWT ID so it updates rather than duplicates.

Why don’t I see all my records on the DWT page?

The Receiver filter is on by default and shows only records where your business is the consignee, since UK rules generally require the receiving site to submit. Toggle “Show all mine” to see everything, including records where you’re the producer or carrier.
