WasteBolt Gate is the fastest way to create a WTN in WasteBolt. It’s built for fast data entry at the gatehouse — type freely or pick from your Customers, Waste Types and Vehicles pick lists, and a load only takes a few taps to log.

What Is WasteBolt Gate?

Gate is a dedicated gatehouse dashboard, separate from the main WTN hub. It tracks three things at a glance:

  • Logged Today — how many loads have been logged through Gate so far today.
  • Awaiting Review — loads logged but not yet reviewed, matched to a template, or submitted.
  • Awaiting DWT Submission — loads already approved and ready to send, just not yet submitted.

Below that, Flagged for Review lists recent loads that need attention — typically because the waste carries a warning (hazardous, POPs, asbestos, PCBs, PFAS and similar) — so nothing risky slips through without a second look.

Tip: Good pick lists make Gate fast. The more your Customers, Waste Types and Vehicles pick lists are filled in, the more of the Log New Transfer form fills itself in as you type.

Logging a New Transfer

Click + Log New Transfer from the Gate dashboard to open the form.

What happens after you log this load? The record is flagged for review, where it shows a DWT readiness status — green (ready), amber (warnings) or red (missing required fields). From there you can edit it directly and submit, or optionally apply a matching template first to auto-fill any missing details — whichever suits your workflow.

  1. Load Details — Date & Time (required), Weighbridge Ref / Docket No, and Vehicle Registration (type freely or pick from your saved vehicle list). Entering a vehicle already in your pick list can trigger Repeat Last Load — see below.
  2. Producer (Customer) — toggle between Producer and Broker/Dealer, then type a name or pick from your customer list. Expand Add address, SIC code & permit no for the extra fields.
  3. Carrier (Haulier) — type a name or pick from your carrier list. Expand Add email, address & carrier reg if needed.
  4. Consignee (Receiver) — defaults to your own site, shown with a “Defaults to your site” badge. Expand Add email, address & permit details to adjust.
  5. Waste Details — type a waste name or pick from your waste list, plus an EWC Code. Expand for description, physical form, transport and more. Tick Is Hazardous or Contains POPs if either applies.
  6. Weight Details — choose a Weight Entry Method (Weighbridge (kg), Litres, or Gallons), then enter Gross Wt and Tare Wt — Net Wt calculates automatically (Gross − Tare = Net), or tick Enter Blank to skip it. Tick Weight is an estimate if the figures aren’t a confirmed weighbridge reading. Attach up to 2 load images (Take Photo or Choose File, max 4MB each, auto-compressed).
  7. Additional Information — free-text Comments for anything that doesn’t fit elsewhere.
  8. Log Load — creates a draft WTN entry flagged for review before submission.

Repeat Last Load: The Real Time-Saver

Enter a vehicle registration that already has a logged history, and Gate shows a prompt above the form:

It shows the producer, receiver and waste type from that vehicle’s most recent load. Click Repeat this load and the whole form — producer, carrier, consignee, waste details — fills in from that last run, ready to just confirm the weight and save. This is what makes Gate genuinely fast for regular routes: skip and enter manually if the load differs.

Gate Hot Picks (from the dashboard’s Quick Actions) works the same way from the other direction — pick a recent or favourite load pattern directly, without needing to type the vehicle reg first.

Gate Settings

Open Gate Settings from the gear icon on the Gate dashboard for account-wide gatehouse configuration.

Auto Submit — when enabled, records that meet the criteria skip the Flagged For Review queue and a WTN is created for them automatically. Submitting to Defra is always a separate step, controlled by DWT Auto Submit, and is never triggered from here. Records that don’t meet the criteria are still flagged for review as normal.

  • Auto Submit — All Ready: if a record passes every DWT readiness check on creation (no missing required fields), a WTN is created for it automatically without manual review, and added to your DWT submissions list.
  • Auto Submit — Non-Receiver loads: if your company isn’t the consignee (receiver) on a record — for example you’re acting as a carrier only — a WTN is created even if some fields are missing, since only the receiving site can submit that waste receipt to DWT.

Always Flagged For Review — Bolt Document Processing and Bolt Upload records skip Auto Submit no matter how it’s configured: AI-extracted loads always require human verification before a record is created.

Matching Templates — the master switch for template matching on this account. Turning it off hides the Auto-Match, Assign Template and Remove Template buttons on Flagged For Review, and also stops the auto-processor running template matching in the background.

Gate Transfer Signatures — shows a signature collection screen after every load logged from Gate → Log New Transfer, with the option to sign or skip as Producer, Carrier or Consignee. The Drivers Portal Only sub-option narrows this to seat/driver accounts — useful for drivers out and about on collections — while admins logging a transfer directly skip the signature screen.

Quick Actions Menu — choose which actions appear in the Gate dashboard’s Quick Actions panel (Bolt Upload, Matching Templates, Bolt Document Processing, Import from CSV, CSV Column Mapping). All are shown by default.

Some of this now also lives in Work Flows

The two Auto Submit toggles above are shared with Work Flows → Gate — they’re the same settings in both places, so changing one changes the other.

Work Flows → Gate also adds Flagged For Review Auto Processing, a separate scheduled job from Auto Submit and from the Matching Templates auto-match button:

  • It runs once daily at a time you choose (UTC), or on demand with Run Now.
  • It only creates a WTN for a flagged record that’s already DWT ready exactly as submitted — it’s either ready or it isn’t. It doesn’t run template matching or fill in missing fields itself.
  • Each run is logged under Recent Runs, showing how many flagged records it found, how many WTNs it created, and how many it skipped.

This is aimed at accounts with a steady stream of already-complete flagged records — for example from a weighbridge feed — who’d rather have those cleared automatically once a day than reviewed one by one.

From Flagged to Submitted

Every load logged through Gate follows the same path:

Logged, Review and Submitted, with an optional template or manual step at Review A load moves from Logged and Flagged to Review to Submitted.   1. Logged — appears in Flagged for Review, counted in Awaiting Review, with a DWT readiness status.
  2. Reviewed — apply a Matching Template to auto-fill any details the gatehouse operator didn’t enter (EWC codes, licence numbers, and the rest), or edit them manually — whichever suits your workflow. Not every record needs a template.
  3. Submitted — once approved, the record moves to Awaiting DWT Submission, ready to send to Defra as part of your Digital Waste Tracking submissions.

Frequently Asked Questions

Does Gate replace the main “Create WTN” flow?

No — it’s a faster, gatehouse-focused way in. Loads logged through Gate become the same WTN records you’d see anywhere else in WasteBolt once they’re reviewed and submitted; use whichever entry point suits how you work.

What’s the difference between Gate and WasteBolt Gatehouse?

Gate is the web dashboard covered here, built for quick manual entry at a browser or tablet. WasteBolt Gatehouse is a separate free Windows desktop app for sites with a weighbridge — it can watch a CSV export folder or sync a SQL Server weighbridge database automatically. You can use either, or both.

Why does Consignee default to my own site?

Most loads on Gate are inbound to your own facility, so Consignee pre-fills with your site to save a step — expand it any time to enter a different receiver.

What counts as a “Log Docket” instead of a WTN?

Log Docket is for operational records that don’t need to be a formal Waste Transfer Note — useful for internal tracking (for example weighing outbound products) without creating a compliance document.
