What is My Site AI?
My Site AI is your compliance document vault. Upload your permits, licences, insurance certificates and risk assessments — the AI reads each document, extracts key details like expiry dates, and makes them searchable. You can then ask questions about your documents in plain English using the built-in chat.
Uploading Documents
- Open My Site from the dashboard navigation
- Click Upload Document (or drag and drop a file)
- Select the document type from the dropdown
- Optionally set an expiry date manually (the AI will also attempt to detect it)
- Click Upload — the document enters processing
Supported formats: PDF, JPG, PNG, WEBP, Word (.doc / .docx)
Supported document types:

Document Processing
After upload, documents go through three stages:
- Pending — queued for AI processing
- Processing — AI is reading the document and extracting details
- Ready — document is indexed and available for chat queries
Processing typically takes 30–60 seconds. Refresh the page if a document stays in Processing for more than a few minutes.
If a document shows Unsupported, the file format or content could not be read by the AI. Try re-uploading as a PDF or a clear image scan.
Expiry Tracking
Once a document is processed, My Site AI tracks its expiry date and displays a colour-coded badge:
- Green — valid, expiry date is more than 90 days away
- Amber — expiring within 90 days
- Red — expiring within 30 days or already expired
You can also set or correct an expiry date manually by clicking Edit on any document.
Tip: Keep your most critical documents — Carrier Licence, Environmental Permit, Insurance — in My Site AI so you never miss a renewal deadline.
Asking Questions with Ask Bolt AI
The AI chat in My Site AI lets you ask questions about your uploaded documents in plain English. Switch to the Ask Bolt tab to open the chat.
Example questions you can ask:
- “When does my environmental permit expire?”
- “Do I have a valid carrier licence on file?”
- “What does my risk assessment say about PPE requirements?”
- “List all documents expiring in the next 60 days.”
Bolt AI answers based only on the documents you have uploaded — it will tell you if it cannot find relevant information.
Managing Documents
- Rename — click the pencil icon to rename a document
- Download — download the original file at any time
- Delete — permanently remove a document from the vault
Deleted documents cannot be recovered, so download a copy first if you need to keep the original file.
Tips
- Upload documents as PDF where possible — the AI reads PDFs most accurately.
- If an image scan is blurry or low-resolution, the AI may not extract the expiry date correctly. Set it manually using the Edit button.
- Documents are private to your account — seat users cannot access My Site AI.
- There is no limit to the number of documents you can store.
